Record the part you need to replace or reconsider. Other teams join the same need, producers declare candidates against it, and a reviewer decides whether any of them becomes a relationship you can cite. Your reason, your customer, and your volumes stay private — the board shows public technical context and an anonymous count of people who need an alternative. A proposed candidate does not mean your requirements have been met.
